How we handle your team’s data

This page explains exactly what the Team Enneagram collects, where it lives, who can see what, and how it’s used — in plain language, with nothing glossed over. It’s written for team members deciding whether to be candid, and for HR and legal reviewers deciding whether to approve the engagement. Last updated June 2026.

The short version

  • Your Enneagram type is shared with your team. Your name and type appear on the team map — that’s the point of the product. Everything else you enter is not.
  • Your answers are never shown to anyone. Not your teammates, not your team lead, not the coach. Pre-work answers are combined across the team into anonymous, aggregated patterns — “3 of 7 chose Integrity,” “average stress 6.2/10” — and synthesized themes. No quotes, no names, no way to tell who said what.
  • Conversations with Emma are private to you. There is no way — by design, in the software itself — for a coach, lead, or administrator to read them. You can delete them at any time.
  • Your data is never sold, never used for advertising, and never used to train AI models.

What we collect

Everything below is collected only when you choose to do the activity. All of it is optional except joining the team itself.

For the team lead only, we also receive basic engagement details from our onboarding system (name, email, company, team size, and what prompted the engagement). No team member data ever flows the other direction.

“Aggregated team patterns” means counts, averages, and AI-synthesized themes across the whole team — for example “several members want clearer decisions” — generated under an explicit instruction to never quote or attribute any individual. The coach and lead use these to shape the workshop. They cannot drill down to individuals: there is no screen, export, or query in the product that returns an individual’s answers to anyone but that individual.

Conversations with Emma deserve a special note. They are stored in a table that no coach-, lead-, or admin-facing part of the system can read. The only code path that returns a conversation checks that the person asking is the person who wrote it. You can delete any conversation (or all of them) yourself, and deletion is immediate and permanent.

How AI is involved — the honest version

Emma runs on Claude, an AI model made by Anthropic. To do its job, our server sends Anthropic the data needed for each task: your type (to write your report and personalize emails), your team’s roster of names and types (to ground team features), and — for workshop and report generation — the team’s pre-work, including free-text answers, bundled together with no names or identities attachedso the AI can synthesize themes. We don’t edit what you write, so anything you choose to put inside an answer is sent as written — another reason to leave names out of your responses.

So while no human and no screen ever shows your raw answers, the text itself does pass through Anthropic’s API for synthesis. Under Anthropic’s commercial terms, data sent through the API is not used to train their models. We do not use it to train anything either.

Where data lives and how it's protected

  • Storage: a dedicated Supabase (PostgreSQL) database used only for the team product, separate from our other systems. Data is encrypted in transit (TLS) and at rest.
  • Access control: the database is locked down with row-level security and no public read policies. Every read and write goes through our server, which checks who you are and what your role allows before touching anything.
  • Coach access is assigned, not claimed: only Big Self School platform administrators can attach a coach to a team.
  • Sign-in: passwordless magic links to your email. No passwords to leak.

No data is sold or shared with anyone beyond this list. There is no advertising, analytics resale, or data brokerage of any kind.

Retention and deletion

  • We keep your data for the life of the engagement and afterward, so that if your company works with us again you don’t have to retake the assessment.
  • You can delete your Emma conversations yourself at any time, instantly and permanently.
  • You — or your team lead on the team’s behalf — can request deletion of your data at any time by emailing shelley@bigselfschool.com. We honor deletion requests within 30 days.
  • Deleting a team deletes all of its members’ data with it.

What we will never do

  • Show anyone your individual answers — including your manager, your team lead, HR, or the coach.
  • Use your answers in hiring, firing, promotion, or performance decisions, or knowingly provide them for that purpose. This is a development tool, not an evaluation tool.
  • Sell your data, share it for advertising, or use it to train AI models.
  • Read your conversations with Emma.
